Privacy
This page explains what Whitehorn Community Association collects through this website, why, and what you can ask us to do about it. It is written to be read, not to be survived.
What we collect
Only what the site actually needs. If you fill in a form, we receive what you typed into it. If the site shows visitor numbers, those are counted without cookies and without building a profile of you. We do not sell anything about you to anyone, and we do not use what you send us to train artificial intelligence.
Booking requests
If you ask to book a space, we receive your name, email address, phone number and what you tell us about the event. We use them only to consider your request and to arrange the booking with you. A request is not a booking until we confirm it by email. The page that shows when a space is free never shows who has booked it.
To book the hall we also ask for a photo of your government photo ID showing your photo, name and address. You do not need to cover anything: before the photo is kept, our own system, on our own server, blacks out your date of birth, licence number, sex, height and eye colour. The photo is not sent to any outside service to do this. If one of those details cannot be found it may still show in the photo; staff are told, so they can delete the photo once the booking is checked. We use it only to confirm that the person booking is the person renting. Only the staff who confirm bookings can open it, and each time they do is recorded. It is never emailed, posted or used for anything else. It is kept until 2 years after your event, in case of a claim about the hall, or for 90 days if your request does not become a booking. Then it is deleted. You can ask us about deleting it sooner.
Signed waivers
If you sign a waiver on this site, we receive the participant's name, phone number, email address and home address, an emergency contact's name and phone number, the name of a parent or guardian when the participant is under 18, the name typed as the signature, the date, and the exact wording agreed to. The signed copy is kept in Whitehorn Community Association's own records so that it can be shown if it is ever needed. It is used for nothing else and never shared or sold. It is deleted 3 years after it was signed. You can ask us at any time to correct it.
Membership applications
If you apply for membership, your application goes into Whitehorn Community Association's own membership records so that we can process it. Your membership starts only once your fee is received.
The chat assistant
The chat on this site is an automated assistant, not a person. It answers only from what is published on this site and documents Whitehorn Community Association has given it. To write an answer, what you type is sent to an artificial intelligence service that works for us, which may not use it for any other purpose. This site does not keep a record of your chat once you leave the page. Answers can be wrong, so please contact us directly about anything that matters.
Why we hold it
To answer you, and to keep the site working. Nothing else. If you contact us, your message is kept until Whitehorn Community Association decides it is no longer needed, and you can ask us to delete it at any time.
What you can ask for
You can ask what we hold about you, ask for a copy, ask us to correct it, or ask us to delete it. You do not need a reason and it costs nothing.
Who else can see it
The site runs on services we pay for, under agreements that hold them to the same standard. They process information on our instructions and for no purpose of their own.
How this is governed
Aligned with PIPEDA and Alberta PIPA.
